Job overview

Sunswap is looking for a proactive and detail-oriented Office Manager to join our dynamic team. This role will support the smooth and efficient running of operations across two sites in Leatherhead: our Production Site and R&D/Office Site. You will be a key player in coordinating daily operations, supporting facilities management, ensuring health and safety compliance, and assisting with operational reporting. This role reports directly to the Operations Manager and provides an exciting opportunity to contribute to the growth and success of a cutting-edge sustainable technology company.

Key responsibilities

  • Manage the day-to-day running of the office, including facilities management, maintaining kitchen and office supplies, liaising with our landlord, and overseeing internal office communications.
  • Resolve administrative and IT-related issues, providing basic tech support such as setting up laptops for new team members, troubleshooting IT problems, and overseeing asset management.
  • Ensure Health & Safety and Fire Safety procedures are maintained within the office.
  • Support the procurement and operations team with administrative tasks, including fulfilling office-related purchases and other ad-hoc tasks.
  • Coordinate travel and accommodation bookings for the Sunswap team.
  • Perform regular stocktaking of office consumables, ensuring supplies are consistently replenished.

Qualifications & experience

  • A minimum of 1 year’s experience in a similar Office Coordinator role, ideally within a start-up/fast paced environment.
  • Adaptable to a wide range of office and facility tasks.
  • Strong organisational and time management skills, with the ability to multitask and work under pressure while maintaining attention to detail.
  • Comfortable using various software applications, with the ability to quickly learn new systems and processes.
  • Able to maintain high standards of compliance and confidentiality.
  • An effective communicator, capable of collaborating within a team to achieve goals.
  • Excellent attention to detail and a commitment to completing tasks thoroughly.
